RESERVATION PROCESS
Registration via NORTHROAD´s Website: Your registration places you in a list of participants. No payment will be required in this 1st stage. The number of participants on the tour is limited, so reservations are considered by order of entry. The person responsible for the Tour will check the availability and will contact you back asking for your booking confirmation.
Confirmation of your reservation: After receiving the booking form by e-mail, you are requested to confirm your reservation by doing a first payment of 30% of the total tour amount. You can do it through credit card or order a bank transfer.
Confirmation: After we confirm the reception of the booking form and payment, you will receive an e-mail confirming your presence on the tour.
PAYMENT CONDITIONS
Payment Methods: NORTHROAD accepts payments by VISA, MasterCard and American Express credit cards, and national and international bank transfers.
Confirmation of booking / 1st Payment: The booking confirmation involves the payment of 30% of the total tour amount.
Remaining payments: 60 days before the tour start date, a second payment of 40% of the remaining amount will be requested. For tours starting in Porto, the remaining amount (30%) can be made as a final payment at the tour start date, in our store. For tours starting elsewhere, this final payment must be completed 30 days before the tour start date.
Payment Delay: After being notified to make a payment, the client has 10 working days to carry this out. If the payment is not fulfilled until then, NORTHROAD ceases to secure the client´s place on the tour, and reserves the right to cancel the reservation.
Custom payment plan: We can accept a different payment plan, please contact us to discuss a solution accordingly with your convenience.
Self-Guided Tours in High Season: Due to hotel´s high season rates, Self-guided packages prices can increase 10% for all tours happening between 15th July and 31 August.
CANCELLATION POLICY
Cancellation of the Tour by NORTHROAD: If NORTHROAD cancels the tour; all participants will be reimbursed with the full amount payed till the moment of the cancelation.
Cancelation more than 30 days before the beginning date of the Tour: If the participant’s cancelation occurs more than 30 days before the starting date of the tour, NORTHROAD will return half of the amount paid by the participant.
Cancelation less than 30 days before the beginning date of the Tour: If the cancelation takes place 30 days before the start date of the tour, NORTHROAD shall not return any payments to the customer.
NORTHROAD can cancel the Tour up to 60 days before the beginning date in case of insufficient number of participants. In this case the customer will be immediately notified, and his payments will be fully refunded, which constitutes full settlement.
NORTHROAD reserves the right to cancel or stop a Tour if for any reason the safety or comfort of the participants is not guaranteed, including force majeure as riots, floods, earthquakes, etc.
We recommend subscribing a travel insurance that covers the costs of a possible cancellation of the Tour.
MOTORCYCLE RENTAL FOR NORTHROAD TOURS
Tours departing from Porto: In all Tours departing from Porto, it is necessary to celebrate a rental contract for the use of the motorcycle. This contract is made with NORTHROAD, and it is necessary for the pilot to be legally authorized to drive the vehicle in which the Tour occurs. The rental price is already included in the price of the Tour.
It is necessary to make a damage deposit to rent the motorcycle. The values of the damage deposit vary accordingly with the chosen model of motorcycle, and can be found in the rental conditions of each model.
In Tours departing out of Porto: It is necessary to celebrate a rental contract for the use of the motorcycle. This contract is celebrated directly between each participant and the local partner of NORTHROAD that provides the motorcycles. The rental value is already included in the price of the Tour.
It is necessary to make a damage deposit to rent the motorcycle. The values of the damage deposit vary accordingly with the chosen model of motorcycle, and can be found in the rental conditions of each model.
Damage deposit: Each motorcycle model has a specific damage deposit that must be left as a credit authorization at the beginning of the rental, on the client´s credit card.
The damage deposit represents the maximum amount payable by the client, in the event of damage to the motorcycle. At the end of the rental contract, compensation for any damage to the motorcycle will be deducted from the damage deposit, and the remaining returned to the Client.
If an accident is to be reported to the insurance company, the entire damage deposit will be charged to the client until the resolution of the case.
After the insurance inspection and determination of responsibility, the client will be refunded the remaining amount of the damage deposit.
Motorcycle use limits: The motorcycles included in the tour package are limited to their use, only during the course of the tour. The use of the motorcycle outside the described route or the private use on rest days and / or at the end of the daily stages is not allowed.
Safety: Personal and group safety is a priority of NORTHROAD. The use of the motorcycle in a reckless manner and disregarding the traffic rules or the rules of the Tour, will not be tolerated, and will cause the immediate suspension of the rider, with the motorcycle locked.
INCLUSIONS AND EXCLUSIONS
Included: NORTHROAD Tours, usually include all the accommodations with breakfast, all the dinners, motorcycle rental, tour book, motorcycle tour leader and the staff on the support vehicle (if included in the tour).
In autonomous tours (self-guided), the dinners, the tour leader and the support vehicle with the correspondent staff are not included. You can find the specific inclusions and exclusions in the conditions of each tour and on the tour information pack.
Distribution of rooms: There are a limited number of single rooms that will be booked by order of inscription on the tour. Therefore, the availability of this kind of rooms cannot be guaranteed. If the client is traveling alone, but wants to share a room, NORTHROAD will try to find a roommate who is in the same situation. If NORTHROAD is unable to find a roommate, the client will be charged for the price of a single room.
Not included: The following is not included in the guided tours: lunches, flights, transfers, tolls, fuel, drinks, personal insurance and personal expenses of any kind. You can find the specific inclusions and exclusions in the conditions of each tour and on the tour information pack.
INSURANCE
Liability insurance: included in all the NORTHROAD tours is a liability insurance (third party) for the use of the motorcycle, when a motorcycle rental is part of the tour package. More detailed information can be found in the Rental General Conditions of each motorcycle model.
Damage and Theft Insurance: When the tour includes the motorcycle rental, an insurance regarding damage and theft of the motorcycle is included, for amounts above the damage deposit. More detailed information can be found in the Rental General Conditions of each model. Damage that determines an overall loss of the motorcycle and/or theft, involves the payment of the full amount of the damage deposit.
Travel insurance: To participate in a NORTHROAD tour, it is required to each participant to subscribe a travel insurance in their country of residence, that does not exclude the motorcycle as means of transportation, and that ensures medical and health care with repatriation to their country of residence in case of an emergency and/ or accident.
Rules during the Tour: In the initial briefing, basic rules of the tour shall be communicated to the group. Failure to follow these rules, or any behavior that can compromise individual safety or of any other member of the group, results in immediate suspension of the participant.
Each Tour has specific rules that can be found in the particular conditions.
Here below are general rules in all NORTHROAD tours:
- Do not exceed the Tour Leader
- Do not leave the road, so as to maintain insight of the support vehicle
- Respect traffic rules and local speed limits
- Do not consume alcoholic beverages during the Tour stages
- Comply with the schedule established in the daily briefing
- Respect the instructions and decisions of the Tour Leader
CHANGES TO THE TOUR CALENDAR
The tours operate seasonally to try to assure the best weather conditions. However climatic or road conditions may dictate changes to the tour itinerary, which shall be adjusted with the use of alternative roads and/or hotels.
REQUIRED DOCUMENTATION
Valid passport: You must have a valid passport with an expiration date no less than 6 months after the end of the Tour.
International driver’s license: Mandatory for all NORTHROAD tours with the exception of Portugal and Spain.
Credit card: Requested for conducting the damage deposit, concerning the rental agreement of the motorcycle that is used on the Tour. We accept VISA, MasterCard and American Express.
Travel visas: The application for visas is the responsibility of each participant; consult your NORTHROAD tour leader to help you find the specific requirements for your nationality.
International certificate of vaccination: Requested in some NORTHROAD tours. Please check the particular conditions of the tour, or your tour leader for further information.
Travel insurance policy: Each participant must subscribe a travel insurance in their country of residence that does not exclude the motorcycle as means of transportation and that ensures medical repatriation to their country of residence in case of accident or medical emergency. This insurance must be valid in all countries where the tour takes place. A copy of your insurance policy must be handed to the NORTHROAD´s tour leader at the initial briefing of the tour.
PHOTO AND VIDEO
The photos and videos produced by NORTHROAD during the tour are the property of NORTHROAD. Copyright is held by NORTHROAD. NORTHROAD is authorized to use all this material for advertising and marketing purposes, including images in which individual members of the tours can be recognized: The client is not entitled to make a claim against NORTHROAD for the use of this material.
STATEMENT OF RESPONSIBILITY
Driving a motorcycle is an activity that has an elevated risk involved. At the beginning of each NORTHROAD tour, the participant will be asked to complete and sign a liability statement in which he recognizes that NORTHROAD, its owners, employees and agents are not safety guardians of any of the participants in the tour, and they, individually or collectively, cannot be held responsible in any way for any occurrences related to accidents that may result in injury, death, or damages to the customer, their property, their family, heirs, or assigns.
This document includes a field where the participant should fill in the details of an emergency contact, the contact details and the details of their travel insurance policy.
ACCEPTANCE OF THE GENERAL CONDITIONS OF NORTHROAD TOURS
